The work behind the workflow

The stock count needs a reason behind every change.

A delivery arrives, a product is moved, a damaged item is removed, and the closing count no longer matches the sheet. A retailer needs a useful record of how the balance changed, not just a new number typed over the old one. Keep the item, location and signed movement together so a stock question has a trail the team can inspect.

How it works

Turn the count into a traceable stock record.

Start with clear item and location data, then record the movements that change the balance.

Establish the items and locations

Create item records with workspace-unique SKUs and the units your operation uses. Add the stock locations and review any CSV import before processing it.

Record the stock movement

Record the positive or negative quantity change against the item and location. Use the movement record to explain the change instead of overwriting a balance.

Reconcile and review

Compare the ledger with the physical count. Use the configured movement review controls where required, and check discrepancies before the next stock decision.

Useful questions for choosing the right starting point.

Can I import an existing item list?

Inventory has a CSV import workflow. Review the import columns and processing result before relying on the item records for stock movements.

Where does the item quantity come from?

Inventory quantities are calculated from signed stock movements across locations. Item creation starts at zero; record the appropriate movement rather than assuming creation adds opening stock.

Can I review adjustments?

Inventory includes movement review settings and review decisions. The configured policy controls that workflow; reconciliation still needs the physical count and the movement record.
